Front Desk Coordinator

Job Summary: Responsible for greeting patients upon arrival at the office and coordinating their visit with appropriate staff members in an efficient and pleasant manner; also provides effective communication with patients calling by telephone

Education and Experience:

  1. Experience in a similar capacity involving direct communication with the public, preferably in a medical or retail setting.
  2. High school graduate.

  3. Appropriate sense of discretion in dealing with varied and difficult situations.
  4. Ability to convey a positive attitude in all dealings with others, whether patients or staff members.

RESPONSIBILITIES:

  1. Office Triage: Greets each patient warmly upon arrival, determines needs, and ensures efficient transfer of care to other staff members as appropriate.
  2. Confirmation of Patient Information: Confirms with each patient upon each visit that patient information on file with the practice is accurate and up-to-date. Accurately records updates and corrections as needed.
  3. Monitoring of Waiting Room: Regularly checks patients in the waiting room to ensure each is comfortable. Reassures those patients subject to excessive waits and informs clinical staff of status as needed. Ensures furnishings and magazines are orderly and clean. Checks that departing patients appear able to travel safely from the office.
  4. Telephone Calls: Serves as primary individual responsible for answering telephone calls to the practice. Greets each patient warmly, listens carefully, then directs the call appropriately.
  5. Text Messages: Responds to text messages through Weave in a timely manner.
  6. Clerical Duties: Provides assistance in medical chart preparation and maintenance, scheduling, data entry, scans, and other tasks as required.
  7. Financial: Daily deposits and cash drawer reconciliation. Product education and Skincare sales.
  8. Other Duties: Performs other duties and assumes various responsibilities as determined by the supervisor.

Patient Care Coordinator

Job Summary: Facilitates cosmetic surgery sales, serves as initial point of contact for phone calls and online inquiries, provides financial ranges for surgery & guides patients through the surgical process

Education and Experience:

  1. College degree preferred.
  2. One to two years of cosmetic surgery experience preferred.
  3. One to two years of sales experience preferred.

Essential Skills and Abilities:

  1. Superior interpersonal and communications skills.
  2. Superior sales and educational skills.
  3. Able to effectively sustain multiple simultaneous tasks.
  4. Attentive to detail and accuracy.
  5. Proficiency in PC software.

RESPONSIBILITIES:

  1. Take surgical lead calls for the Draper location and conduct Give, Gather, Get process; filling out EMR form
  2. Respond to online inquires in a timely manner
  3. Respond to Social Media leads provided by the Marketing Director
  4. Meet with new surgical patients, Answer questions the patient may have regarding the procedure(s) to be performed, provide quote and explain the fees to be paid for the surgery, including professional fees, as well as the surgical facility fees; Be an effective liaison between the patient, surgeons, outside physicians, and the surgical facility in all aspects of pre-operative preparations.
  5. Notify clinical coordinator to finalize scheduling plans
  6. Collect final payments; including Facility and Anesthesia if performing in our surgical suite.
  7. Maintains a high closing rate with all surgical consultations; Establishing strong relationship with surgical patients and convert to additional procedures and products following surgery
  8. Ensure medical clearance if necessary
  9. Perform cosmetic pre-operative visits
  10. Image photos as necessary
  11. Assist with phones
  12. Preforms other duties and assumes various responsibilities as determined by Physicians, Office Manager, and Administration.
  13. Fill in for staff members as needed.

Medical Assistant/Scribe

Job Summary: Responsible for assisting the physician with patient care including taking vital signs, obtaining history and chief complaint; assisting with biopsies and select surgery procedures. Other responsibilities include patient education on treatment plans and medication, nursing procedures, such as suture removal, dressing changes, allergen patch testing, and completion of pathology and lab requisition documents.

Education and Experience:

  1. High school diploma: college degree preferred.
  2. Five years of experience in a medical office working as a medical assistant.

Essential Skills and Abilities:

  1. Excellent communication skills.
  2. Good understanding of skin anatomy.
  3. Good problem-solving and analytical skills.
  4. Ability to work as a team member.
  5. Well-organized with attention to detail.
  6. Ability to manage multiple projects simultaneously.
  7. Empathetic with patient needs and concerns.
  8. Ability to work well with physicians, anticipating their needs in regard to patient treatment.

RESPONSIBILITIES:

Primary Duties

  • Take pictures and escort patients to exam rooms in order of appointment times. Obtains short history and vital signs as required by patient’s chief complaint. Obtains or updates medication list if necessary. Sets up exam room according to scheduled procedure or anticipate physicians needs if non-scheduled procedure is likely.
  • Assists physician with biopsies and surgical procedures such as excisions, minor surgical procedures, laser surgery, etc.
  • Perform pre-operative education required after physician establishes the treatment plan. Ensures that the patient understands the treatment plan, understands the proper use of their medications, and understands their responsibility for compliance with the treatment plan prior to leaving the office.
  • Straightens and cleans exam rooms after patient visits.
  • Performs post-operative procedures such as suture removal, dressing changes, without direct physician supervision.
  • Completely and correctly fills out all required pathology and laboratory requisition documents for patients as required by physician. Provides clinical staff with all completed documents for data entry into the patient’s chart.
  • Surgical follow up calls.
  • Act as a Liaison between patient and doctor, as necessary.
  • Assist with phones and direct to appropriate staff member.
  • Assist in Scribing as needed.

Secondary Duties

  • Stocks all exam rooms.
  • Performs all duties related to medical instrument cleaning and sterilization.
  • Notifies clinical staff of supplies needed to avoid shortages.
  • Performs other duties and tasks as needed.
